Checklist
Good to know in advance
- Concept of the Erasmus+ programme:
- NO tuition fees are charged at the host university
- NO tuition fees at KUG during the stay abroad
- Keep in mind the deadlines of the partners, e.g. very early deadlines in Scandinavia --> You can find information about the deadlines on the websites of the partners.
- Please note the application requirements of the respective partner university and the modality of submitting the Erasmus+ application (e.g. uploading the application to the platform requested by the respective partner university): official proof of examination from the KUG and recommendation from the KUG main subject teacher may be required
- Registration via Mobility Online (MO)
- Filling out the application form in MO, reading through the information
- Download forms from MO, fill them in, upload them again
- Prepare a CV and letter of motivation (in the national language or English) and find out via the partner university whether a CD/DVD is necessary or whether links to recordings are required
- Expertise application/Chairperson of the Curriculum Commission:
- at the beginning of March for the following winter semester or the entire academic year
- at the beginning of October for the following summer semester
Steps after acceptance
- Confirmation of acceptance of the study place at the partner university by the applicant
- In the case of several acceptances as a result of parallel applications, the applicant must decide for one of the partner universities and confirm acceptance of the study place.
- Letters of rejection from the applicant to the two universities that were not selected are also absolutely necessary.
- Reporting of the Erasmus+ stay at the KUG Registrar´s Office and further enrolment without main artistic subject (ZKF) ( = payment of the membership fee of the Austrian National Union of Students (ÖH))
- Contact the Health Insurance Company and have an e-card issued for your Erasmus+ stay (European Health Insurance Card/EHIC). Additional casualty insurance, travel insurance, liability insurance are the responsibility of the student.
- For students of non-EU countries:
- obtain a residence permit in the host country from the respective embassy in Austria (particularly applies to those who plan to stay for the WHOLE year)
- Be sure to extend your residence permit in Austria at the same time at the Provincial Government of Styria
- Recipients of study grants must also contact the Austrian Study Grant Authority for the foreign grant
- The International Office (IO) of the KUG posts the mobility grant agreement of the OeAD 20 days before the start of the stay abroad in MO
- The grant agreement must be downloaded, read, signed, and uploaded again twice by the applicant.
- 80% of the total grant (calculated to the day before the start) is disbursed before the stay abroad
- Application for a onetime travel grant to and from the Erasmus+ study location via IO BEFORE departure, settlement with original receipts after completing the study abroad in the IO
- OLS = ONLINE LINGUISTIC SUPPORT: Compulsory assessment test to determine your own language skills in the language of instruction and the national language of the host university; Subsequent online course is recommended. The license for the OLS test is issued by the IO.
- Apply for an ISIC Card (optional)
During the stay and after
- Apply for an extension of your stay in good time (a reference to this is contained in the grant agreement.)
- Day-specific confirmation of stay (CoS) (from the Welcome event to the last day of the project or examination - does not have to match the semester dates)
- Organise 2 copies of it - one for the Registrar´s Office and one for theoffice of the dean of studies
- Send or bring the original, drawn and stamped by the IO of the host university, to michaela.ritter@kug.ac.at (and in CC to international_office@kug.ac.at) within 2 weeks after the end of the Erasmus+ stay.
- Organise official ToR = Transcript of Records = PERFORMANCE RECORD of the host university (exact title of the course, ECTS, local grades of the host university or attestation/study record with signatures of the teachers - to supplement: descriptions of course content).
- By February 15, returnees after the previous winter semester (Teacher Education: February 1)
- By September 15, returnees after the previous summer semester (Teacher Education: September 1)
must have applied for recognition of their stay abroad at the Office of the Dean of Studies. A personal meeting with Michaela Ritter beforehand is to be arranged.
- Mandatory completion of the EU survey / online report provided by the OeAD; only then the last instalment of the grant can be disbursed.
- Complete the KUG online evaluation questionnaire in the IO - a TAN will be assigned.
- Submission of a experience report in the IO. Possibility of publication of the report on the IO website.
Application deadlines at the International Office of the KUG
- March 15 for the following academic year or for the winter semester of the following academic year
- October 15 for the summer semester of the following academic year
